SCOUTAGENT · PRIVACY

Your resume. Your search. Your information.

This notice explains how ScoutAgent handles the information you share for your job search.

Updated October 2, 2026

ScoutAgent reviews your resume. Website, email and AI service providers process information to operate your search. Do not send ScoutAgent your existing LinkedIn or other job-site passwords.

Who is responsible

SCOUTAGENT LLC, a Florida limited liability company ("ScoutAgent," "we," "us," or "our"), operates this service and is responsible for the information handled as described in this notice. For privacy questions, corrections, access or deletion requests, email hello@scoutagent.net.

What you share

We collect the information you enter in your search brief: your name, email address, resume, target roles and skills, locations, work arrangement, experience, job types, pay preferences, delivery preferences and other details you choose to provide. We also receive messages and feedback you send us.

Please share only information needed for your search. Do not include account passwords, government ID numbers, financial account details or private information about other people.

If you request Apply Assist, we also collect the application information described in Application information we keep for Apply Assist below.

Gender, race or ethnicity, veteran status, and disability status are voluntary employer self-identification answers. You may leave these blank or choose “Prefer not to say” without affecting your search or membership. Do not provide diagnoses or medical records. ScoutAgent will not infer these answers and will use them for employer self-identification only with your permission.

How it is used

We use your brief and resume to set up ScoutAgent, identify relevant job postings, send your requested emails, adjust your search and respond to questions. When requested, we also use relevant information for resume improvement, interview preparation, and applications you authorize. AI tools assist with these tasks and matching. Messages you send to the service may be processed by AI tools. A person at ScoutAgent may also read them to respond to you and improve your search.

Who handles your information

A person at ScoutAgent accesses and reviews your submitted information. Our website provider, Squarespace, handles form submissions and uploaded files. Email and AI service providers also process information needed to operate the service, under their own terms and privacy practices. So your information does not stay on one person's computer. It also lives on those providers' systems.

You decide which opportunities to pursue. If you apply yourself, you control what you share with employers. If you authorize Apply Assist, ScoutAgent may share your resume and relevant application answers with the employers and application platforms involved in those approved applications. Those recipients handle information under their own privacy practices.

Where you give permission for an application account to be created, the employer or application platform receives the information needed to create it. ScoutAgent will email sign-in or setup details and may ask you to complete verification. Passwords will not be sent in plain-text emails.

Storage and deletion

Your brief, resume and related messages are stored to run your search and provide support. Cancellation does not delete records immediately. We delete the records covered by section 3.6 within 60 days after you cancel, subject to the retention exceptions and provider limitations listed there. To stop your search or request deletion, email hello@scoutagent.net. We will explain the steps for your request and confirm what has been removed. Providers may retain backup or service records under their own retention rules; immediate removal from every backup is not promised.

Section 3.6 below explains which records we delete, which records we retain, and which copies remain with service providers or employers.

Application information we keep for Apply Assist

If you use Apply Assist, where ScoutAgent fills out job applications for you on jobs you choose, we collect the information employers' application forms ask for. You decide what to give us.

3.1 What we collect. We collect:

  • Contact and profile details: your legal name, email, phone, address, LinkedIn URL, work history, and education.
  • Your answers to common application questions: work authorization and sponsorship, willingness to relocate, salary expectations, start date, and similar questions.
  • Optional voluntary self-identification answers: gender, race or ethnicity, veteran status, and disability status. Disability status is health information.
  • Your date of birth, if you choose to give it. We use it only on applications whose forms require it.

Self-identification answers and date of birth are always optional. If you don't give them to us, we answer "Prefer not to say" where a form offers that choice. Where it doesn't, we pause so you can enter the answer yourself.

Social Security numbers. Do not provide your Social Security number to ScoutAgent. We do not request it or enter it on your behalf. If an application requires it, you must enter it directly on the employer's site and submit the application yourself. Where the employer's site supports it, we save the application as a draft in your account on that site and sign out. You then sign in on your own phone or computer, enter the number, and submit. We don't reopen that application afterward. If the site can't save a draft, we send you the link so you can apply directly. If you send us your Social Security number anyway, we won't copy or use it, and we delete it from our email and our files. (Records our service providers keep are covered in 3.6.) We never ask for your date of birth by email. Please don't send us your Social Security number or your date of birth by email.

3.2 Where it comes from. We use only answers that you provide or confirm, or that someone you have authorized to act for you provides. We don't accept your answers from anyone else.

3.3 Why we use it. We use your application information to fill out applications for the jobs you ask us to apply to, and to reuse your answers so you don't have to repeat them on every application.

Your scout finds jobs and decides which ones to show you based on your job search brief and your resume. It may also use the general details and answers described in 3.1 for the same purpose, such as your work history, education, location, willingness to relocate, salary expectations, and work authorization or sponsorship needs.

We don't use your self-identification answers or your date of birth to decide which jobs to show you. We use them only to enter them on applications you ask us to submit. We don't use any of your application information for marketing or advertising.

3.4 Where it's stored and who can see it. We keep your saved answers in an encrypted file set aside for you. Our assistants are allowed to open it only through our access tool. The tool is set up to allow only the assistant assigned to your account and our operations assistant, and it keeps a record each time it is used. Our founder can also open your saved answers. Anyone who opens them may do so only to provide or support Apply Assist for you. All of our assistants run on one shared computer, so these limits depend on our rules and our access tool rather than on fully separate systems.

We don't put your date of birth or self-identification answers in digests, emails, or account notes. Our access tool enters them directly into the application form instead of showing them to the assistant. However, our assistants work by taking screenshots of the screen as they fill out a form, and the platform they run on keeps a record of their work. After your answers are entered, those screenshots and work records can show them. We handle those records as described in 3.6, and we don't copy answers from them into emails, digests, or notes.

3.5 Who we share it with. We share your answers with the employer, and the employer's application system (for example, Workday), for each job you ask us to apply to. That is the purpose of the service.

Our service providers also handle your information for us:

  • the automation platform our assistants run on, which provides computing, keeps records of our assistants' work, and connects us to the AI model companies that power our assistants;
  • our email provider, which handles our messages with you at hello@scoutagent.net; and
  • our website provider, which runs our website, the forms you use to send us your brief and resume, and membership billing.

These providers handle your information under their own terms. The services we use to search job listings receive only search terms, never your application answers.

We never sell your personal information, and we don't share it for advertising. We may disclose it if the law requires it.

3.6 How long we keep it. We keep your application information while you are a member so we can reuse it on applications you request. We delete it from our records and our own backups within 60 days after you cancel, except for the items listed below. You can ask us to delete it sooner at any time.

Here is what we delete, what we keep, and what others hold:

  • Your saved answers. We delete your encrypted file, including any self-identification answers and date of birth, along with your account notes, briefs, resumes, and working files.
  • Your Apply Assist approvals. While you are a member, we keep a record of each application you approved and what we submitted, with your date of birth and self-identification answers removed. When we delete your information, we delete these records too. Our application log then keeps only your customer number and the dates of past applications, with no other application details.
  • Account and billing correspondence. We keep emails about your membership, billing, cancellation, requests to stop service, refunds, and your consent to our Terms for 3 years after you cancel, in case of a billing question or dispute. If one of those emails contains your date of birth, self-identification answers, or Social Security number, we delete that message instead of keeping it. We delete all other email with you, including from our mailbox's trash, when we delete your information.
  • A do-not-contact record. So that we don't contact you again after you've asked us to stop, we keep a small record: your customer number, the relevant dates, and a code made from your email address. We make the code with a one-way formula and a secret key. It can't be turned back into your email address, but it lets us recognize your address if it comes back to us, and that is the only thing we use it for. It is still personal information about you, and we protect it that way. It doesn't include your name or any of your answers. It stops service and marketing messages. It doesn't stop notices the law requires us to send you.
  • Records of our assistants' work. The automation platform our assistants run on keeps records of their work, including conversation records and screenshots taken while filling out application forms. Some of these records can show answers you gave us. This includes screenshots taken after an answer was entered, and records from before we moved your answers into encrypted storage. Copies are kept on our computers and may also be kept on the platform's servers. The platform doesn't offer a documented way to delete individual work records. The only documented option deletes an assistant together with its records. When we delete your information, we also delete the assistant assigned to your account, which the platform says removes that assistant's conversation history. The platform's terms say deleting an assistant may not delete shared files or other data on the shared computer, so we delete those separately. Other records may remain, including records made by other assistants that worked on your account, such as our operations assistant. Copies on the platform's servers, and anything the AI model companies it uses keep, are held under those companies' own terms. We don't use these records for anything else, and we don't copy answers out of them.
  • Our email and website providers. After we delete your information from our accounts, our email provider and our website provider may keep backup copies for a period under their own terms. Our website provider also keeps its own billing records.
  • Employers. The employers you applied to keep their own copies under their own privacy policies. We can't delete those, but we can tell you how to contact the employer.
  • Legal holds. If the law or a pending dispute requires us to keep something, we keep only what's needed, for only as long as it's needed.

3.7 Your choices and deletion requests. Email hello@scoutagent.net to see, correct, or delete your application information, or to stop us from reusing any part of it (for example, your self-identification answers). We'll confirm it's done within 10 business days. When we confirm a deletion, we'll tell you what we deleted and what, if anything, remains as described in 3.6. Stopping reuse applies to future applications. It doesn't withdraw applications we've already sent to employers. Deleting this information doesn't cancel your membership. To cancel, go to My Membership.

3.8 Security and breaches. We protect this information with encryption, the access limits described in 3.4, and deletion as described in 3.6. No system is perfectly secure. If a breach affects your personal information, we'll give the notices that breach-notification laws require, within the time those laws allow. For Florida residents, that means we'll notify you as quickly as practicable and without unreasonable delay, and no later than 30 days after we determine that a breach occurred or have reason to believe one occurred, unless the law allows a delay (for example, at the request of law enforcement) or an exception applies.
